Fill this in with your own numbers
Use your phone provider's call log (most business lines show missed and unanswered calls) for the last 30 days.
| Line | Your number |
|---|---|
| A. Missed or unanswered calls in 30 days | |
| B. Of those, how many were likely new customers? (check a sample of 20) | |
| C. Share of new-customer callers who usually book when someone answers | |
| D. Average value of a new customer to you |
Estimated monthly revenue at risk = B × C × D.
Then check when the misses happen
Sort the missed calls by time:
- During business hours, while you were busy with a customer or on a job
- Lunch and breaks
- Evenings and weekends
The pattern tells you what kind of coverage you need: overflow during the day, after-hours only, or both.
Questions to answer before you choose coverage
- Which calls must reach a person right away? (emergencies, existing customers with urgent problems)
- Which calls just need information? (hours, services, pricing from your own price list)
- Which calls need a callback? (quotes, scheduling)
- Who gets alerted, and how fast should they call back?
What to do next
If line A is more than you'd like, try coverage for one week and compare your call log before and after. Measure it with the same worksheet.
